Privacy policy
Last updated: 22 October 2026
This policy explains what personal information Metric Oak (“we”, “us”) collects through metricoak.com, why, and the choices you have. It covers this website only. Data we process for clients during an engagement is governed by the contract with that client.
What we collect
- Booking details. When you book an architecture review, Google Calendar collects your name, email address and anything you write in the booking form, and shares them with us so we can hold the call.
- Emails you send us. If you email us, we receive your address and whatever you include in the message.
- Analytics, only with your consent. If you accept analytics cookies, Microsoft Clarity records how pages are used: pages viewed, clicks, scrolling, device and browser type, and approximate location derived from your IP address. Clarity masks text you type into forms.
- Server logs. Our web server records IP address, browser type, requested page and time for security and troubleshooting.
- Campaign information. If you arrive from a link with campaign tags (for example
utm_source), we keep those tags in your browser for the visit so we know which campaign brought you.
We do not buy personal data, and we do not sell or rent it to anyone.
How we use it
- To arrange and hold the calls you book, and to reply to your messages.
- To understand which pages are useful and improve the site (analytics, with consent).
- To keep the site secure and working.
- To meet legal obligations.
Where the GDPR or UK GDPR applies, our legal bases are: taking steps at your request before a contract (booking and replies), our legitimate interests in running and securing the site (server logs), and your consent (analytics and marketing cookies).
Who we share it with
We use a small number of service providers, listed on our trust center:
- Google — calendar booking and email.
- Microsoft Clarity — website analytics, only after you consent.
- Contabo — website hosting.
They process data on our behalf under their own data-protection terms. We may also disclose information if the law requires it.
International transfers
Our providers may process data outside your country, including in the United States. Where required, transfers rely on the providers’ standard contractual clauses or equivalent safeguards.
How long we keep it
- Booking details and emails: for as long as needed to deal with your request and any follow-up relationship, then deleted within 24 months of our last contact.
- Analytics data: kept by Microsoft Clarity under its retention settings (currently up to 13 months).
- Server logs: up to 90 days.
Your rights
Depending on where you live, you can ask us to access, correct, delete or export your personal information, to restrict or object to how we use it, and to withdraw consent at any time. You can withdraw analytics or marketing consent using Cookie settings in the site footer. You also have the right to complain to your local data-protection authority.
To make a request, email hello@metricoak.com. We reply within 30 days.
Security
We use HTTPS everywhere, restrict access to personal data to the people who need it, and require multi-factor authentication on our systems. See the trust center for details.
Changes
If we change this policy, we update the date at the top of this page.
